Administrative Assistant - Land Development

Nilson Homes is a large production home builder, based in South Ogden, Utah. Our mission is to build quality, new homes in a timely manner while providing exceptional customer service with a personal touch. We offer a large selection of building lots in several different communities throughout the Northern Wasatch Front for building one of our many home designs.  We are currently looking for a happy, self-motivated, extremely detail oriented, deadline driven, and forthright individual who is passionate about the industry to join our Land Development team!

As the Administrative Assistant in our Land Development division you will be primarily responsible for the daily bookkeeping and day to day functions of the Land Development office, as well as assist the other team members with other projects as needed.  A pleasant, professional personality with an ability to multitask and pay close attention to detail is essential. Ultimately your duties and responsibilities are to execute all bookkeeping and administrative tasks to the highest quality standards. You will utilize the tools and technology we have established to work with established schedules and deadlines and follow set policies and procedures. Responsibilities Include but are not limited to:

  • Daily bookkeeping of all LLC’s created for each development
  • Processing and approving invoices for payment and tracking of progress billings
  • Cutting checks and creating the back up and control copies for filing
  • Processing lien waivers for payments to vendors
  • Entering bank deposits and transfers
  • Preparing monthly interest payments on loans
  • Completing monthly reports and financial statements
  • Assist the CFO and Controller in other accounting items for LLC’s as needed
  • Assist Land Development team members
  • Coordinate calendar for meeting dates, contract dates and deadlines
  • Monitoring and documenting all steps in the processes of all projects and maintaining To Do lists for all land development projects in and staff
  • Requesting and getting approval on change orders and tracking development costs as per bid
  • Preparing lot payoff requests for closings on lot sales to Nilson Homes
  • Entering settlement costs from HUD’s on each lot sold and the coordinating deposit
  • Preparing reports, updating reports, tracking lot sales, inventory, cash flows, profitability, escrows, land in development and land in acquisition
  • Setting up folders and jobs in Dropbox & maintain Dropbox, filing, both electronically and some hard copies needed for all projects, and keeping the filing system functional and organized, as well as making sure all items are accounted for and complete
  • Creating new jobs, phases and lots in Timberline for bookkeeping


  • Associate Degree in an accounting, bookkeeping, administrative assistant or related field preferred
  • Minimum 2-years’ experience as an Administrative Assistant with bookkeeping experience
  • Proficient in Microsoft Office 365, including Excel and Outlook
  • Knowledge and use of a construction management and accounting software program used to track job costs, cash receipts, as well as A/P and A/R is a must 
  • Experience with SAGE 100, Timberline is a plus
  • Basic computer knowledge
  • Proficient in 10-key
  • Residential land development and construction knowledge is a plus
  • Ability to set and keep deadlines
  • Excellent communication and customer service skills and works well with others
  • Clean, organized and extremely task oriented
  • Must have ability to go above and beyond and stay until the work is done
  • Extreme attention to detail and be able to spot errors and make necessary corrections

Nilson Homes is looking for a self-motivated, customer service orientated team member to work in our Purchasing & Estimating department.  This is a full time position.

Nilson Homes, A large and established production home builder in Davis and Weber Counties, is seeking a motivated, organized, career-minded Estimator/Purchasing Agent to perform estimating and purchasing duties for the company. The Estimator is responsible for estimating, organizing, and documenting construction costs for a portfolio of production home plans and options, as well as performing takeoffs, producing estimates, budgets and purchase order packages for job-specific home plans using a database driven software. The Estimator / Purchasing Agent will perform various duties as part of the Purchasing and Estimating team to meet the demands and goals of the department.


  • Perform quantity take offs of production home plans using Planswift software.
  • Prepare job specific estimates and budgets to produce purchase order packages for each home built
  • Perform initial base plan estimating/costing of new single family and multi-family production house plans
  • Assist in maintaining and updating accurate construction costs for all house plans and options
  • Assist in building, maintaining, and organizing a job cost database of items, base plan assemblies, and option assemblies for use in global job costing, job-specific purchase order creation, and job-specific budget creation
  • Assist in creating and maintaining option catalogs, costs, and option pricing for a portfolio of production home plans
  • Contribute to the continual improvement of systems, methods, and practices to perform estimating team functions in the most complete, consistent, efficient, and accurate way possible.
  • Issue variance purchase orders. Work with project managers and trade partners to reduce and control variance costs.
  • Work with trade partners to ensure estimating methods, cost data and purchase order methods are up to date, accurate and maintained in database system.
  • Work with purchasing and estimating team to identify and implement opportunities for value-engineering, cost reductions, increased profitability, and continual process improvement.


  • Bachelor’s Degree in related field preferred. Equivalent direct experience in production home building estimating will be considered.
  • 2-3 years of experience in residential estimating. 2-3 years of residential field management will be considered if paired with the analytical skill set and mindset required to become a successful estimator.
  • Experience in estimating for a production home builder preferred.
  • Experience with Builder MT and Sales Simplicity software preferred. Experience with similar home builder software suites helpful but not required
  • Thorough knowledge of residential construction methods, engineering, and residential building codes.

Nilson Homes is expanding and looking to hire an experienced, qualified, residential construction superintendent to oversee the scheduling and quality control of new homes.

Responsibilities will include, but are not limited to, establishing and maintaining schedules, reading and understanding plans and specifications, identifying and resolving problems that may arise during the building process, resolving concerns with customers, communicating with customers and sales agents throughout the home building process, monitoring the quality of material and workmanship on each home, and ensuring that the job sites are operating with safety as a priority.

The successful candidate will have 5+ years as a residential construction superintendent, basic computer skills, excellent leadership skills, and great communication and organizational skills.
